Documents That Must be Uploaded to the System When Making a Project Application
1. Documents Required for All Project Types
a)      Project Application File: The application form suitable for the project type should be downloaded from the automation system and uploaded to the system in pdf format after all information fields are filled in completely.
b)      Ethics Committee Permission Certificate: Only for the required projects, the ethics committee certificate dated not older than twelve months and obtained in accordance with the project must be uploaded to the system.
c)      Proforma Invoices or Offer letters: Proforma invoices or offer letters for all requested goods, materials and service purchases must be uploaded to the system. Proforma invoices or offer letters are not requested for project applications for which only travel support is requested. Explanations on proforma invoices and offer letters are given in the following sections.
d)      Technical Specification File: Technical specifications must be prepared and uploaded to the system in Microsoft Word format for all goods, materials and service purchases other than travel. Points to be considered while preparing technical specifications are explained in the following sections.
 
2. Documents that must be uploaded to the system according to project types
o   Priority Area Research Projects: An official document indicating that the project manager or researcher has worked as a project manager or researcher in a research project that has previously been approved and provided budget support by national or international institutions and has been successfully closed in accordance with scientific principles (as in the TÜBİTAK 1001 program) in order to produce new information, make scientific interpretations or solve technological problems should be uploaded to the system.
o   Partnership Agreement for Collaborative Research Projects: The signed cooperation protocol between the researchers and the authorities of the collaborating institution must be uploaded to the system in pdf format.
o   Research Infrastructure Projects: "Unit Eligibility Form" approved by the authorized person of the unit where the project coordinator works must be uploaded to the system in pdf format.
o   Researcher Declaration Form for Graduate Thesis Projects: The "Thesis Declaration Form" approved by the institute/faculty where the graduate thesis study is carried out in the relevant fields must be uploaded to the system in pdf format at the application stage.
o   For International Research Collaboration Projects: The "Invitation/Collaboration Letter" and "Unit Eligibility Form" signed by the researcher or the unit where the researcher works and reflecting the scope of the cooperation to be made must be uploaded to the system in pdf format. The "Unit Eligibility Form" to be downloaded from the BAP Unit web page must also be approved by the authorities of the unit where the researcher works.
 o   Research Projects with Undergraduate Student Participation: "Researcher Declaration Form" and the current dated student documents of the students involved in the project must be uploaded to the system in pdf format at the application stage.
o   Research Startup Support Projects: "Researcher Declaration Form" must be uploaded to the system in pdf format at the application stage.
o   Postdoctoral Researcher Projects: "Declaration Form" and "Project Team Declaration and Commitment Form" must be uploaded to the system in pdf format at the application stage.
o   Co-funded Scientific Research Projects: The project application file and project agreement applied to national or international institutions and organizations must be uploaded to the system.
o   Collaboration Support Project: The decision of the University Board of Directors and the invitation document received from the institution to be collaborated with must be uploaded to the system.
 
Remarks:
1.      Short names should be used as much as possible for the files to be uploaded.
2.      For projects to be applied with a high budget limit based on TÜBİTAK project application, the document showing the TÜBİTAK project application evaluation result must also be submitted in the application.
3.      For projects to be applied with a high budget limit based on successfully closed projects supported by other institutions, the document indicating that the project has been successfully closed and the documents showing that the researcher is working as an executive and the project budget must also be uploaded to the system at the application stage.
4.      For the projects to be applied with a high budget limit based on registered patents, the patent registration certificate and the "Declaration Form" indicating that the researchers from the institution who own the rights have given consent must also be uploaded to the system.
5.      The project coordinator is required to upload the relevant index information along with the publications to the system.
 
Important Reminder: Since the documents uploaded to the system in the application will need to be submitted to the BAP Coordination Unit in order to start the projects that are deemed suitable for support as a result of the evaluation, please keep the original documents such as declaration form, proforma invoice, ethics committee certificate, acceptance letter, technical specifications, etc.
